AI Integration: summaries and intent detection written before you hang up, with PHI redaction

In short: ZentryVoice AI Integration transcribes calls live, writes a summary and detects intent (“Reschedule”, “Verify insurance”) before the call ends, and attaches the result to the patient timeline. Summaries are redacted of PHI before anything reaches system logs, a human reviews every suggested action, and the feature is included with every seat.

What AI Integration is

ZentryVoice AI Integration listens to a call as it happens, transcribes it, and writes the note the front desk would otherwise type after hanging up. By the time the patient says goodbye, the summary (“Rescheduled cleaning to Fri 2:00 PM, confirmation texted”), the detected intent (Reschedule), the follow-up (Verify insurance) and a suggested slot are attached to the patient’s timeline. The same engine prioritizes voicemail, tags inbound faxes and marks missed calls Recovered when the patient books. It is included with every seat.

The feature exists because call notes typed after hang-up are the first thing dropped on a busy morning. Writing them during the call means the record is complete when the next call rings, and the manager’s question at 5:00 PM (“what did Maria want?”) has an answer without a replay.

AI Integration works alongside your practice management system or EHR: summaries live in ZentryVoice and can be exported, but the system of record for clinical notes remains yours.

How it works

Every step keeps a person in the loop and PHI inside the practice account.

  1. 1Live transcriptAudio from the call is transcribed in real time on the ZentryVoice platform, inside the same encrypted boundary as recordings.
  2. 2Intent detectionAs the conversation unfolds, phrases such as “move my cleaning” and “my insurance changed” are highlighted and classified into an intent and follow-ups.
  3. 3Summary and suggestionA short summary is drafted and, where the intent is scheduling, a suggested slot is offered to the agent on screen.
  4. 4Human confirmsNothing is booked, texted or changed by the AI itself. The agent confirms the slot, sends the confirmation text, or edits the summary.
  5. 5Redaction before loggingBefore any summary is written to system or audit logs, PHI is redacted. The practice’s audit entry records that a summary was created, not what the patient said.
  6. 6Stored in the timelineThe full summary stays in the patient record, encrypted at rest and visible only to users with access to that practice.

What is and is not stored

Clear boundaries are the whole point of using AI with PHI. The policy is simple and shown in the Compliance settings of the practice portal.

  • Stored, encrypted, in the practice account: the call summary, intent, follow-ups and (if recording is on for that line) the recording and transcript.
  • Stored with PHI redacted: audit-log entries and platform logs. Operators supporting your practice see redacted summaries.
  • Not stored: audio or transcripts for lines where recording is off; nothing is retained outside the practice account.
  • Not used for training: your calls are not used to train models shared with other customers.
  • Retention: follows the recording policy you set per line (90 days by default); deleting a recording deletes its transcript.

What makes it different from notes typed after the call

The comparison is about completeness and timing, not about replacing staff.

Compliance notes

An AI that transcribes patient calls is processing PHI, which makes the vendor a business associate. ZentryVoice countersigns a BAA at signup that covers AI processing, and HHS’s sample BAA provisions describe the obligations that follow: use PHI only as permitted, apply Security Rule safeguards, report breaches and flow the same terms down to subcontractors.

The Security Rule’s technical safeguards (45 CFR 164.312) are applied to the AI pipeline the way they are to recordings: access control by practice and role, audit controls that record creation and access without storing the content in the log, integrity protection for stored summaries, and encrypted transmission between the PBX and the platform. The minimum necessary standard (45 CFR 164.502(b)) is why the audit log records that a summary exists rather than what it says.

The “Redact PHI from AI call summaries in logs” policy is on by default for every practice and is visible in Compliance settings. Operators supporting your account see redacted transcripts.

Pricing and plan facts

AI summaries, intent detection, voicemail prioritization and fax tagging are included in every $20 per user per month seat and in every plan. There is no per-minute AI charge. Month-to-month, 30-day trial, BAA included.

Frequently asked questions

What is an AI call summary?

An AI call summary is a short written account of a phone call, generated from a live transcript: what the caller wanted, what was agreed and what happens next. ZentryVoice writes it during the call and attaches it to the patient timeline.

Is AI call transcription HIPAA compliant?

It can be when the vendor signs a BAA, encrypts transcripts, controls access, logs activity and limits what is stored. ZentryVoice covers AI processing under its BAA and redacts PHI from logs by default.

Does the AI book appointments or text patients on its own?

No. The AI suggests an intent, follow-up and slot; a staff member confirms every booking and every text. Suggestions are never acted on automatically.

What is intent detection on a phone call?

Intent detection classifies what the caller wants (reschedule, new patient, billing, refill) from the conversation as it happens, so the agent sees the next step on screen and the call is tagged correctly in reporting.

Are my calls used to train AI models?

No. Your practice’s calls and summaries are not used to train models shared with other customers.

Can I turn off call recording but keep AI summaries?

Recording policy is set per line. Lines with recording off do not retain audio or transcripts; summaries depend on the live transcript, so a line with recording off also has AI summaries off.

Does the AI integrate with my EHR or practice management system?

ZentryVoice works alongside your practice management system or EHR: summaries live in ZentryVoice and can be exported, and your clinical system stays the system of record.
