Pricing questions
What are the contract terms?
Month-to-month. There is no annual contract and no early-termination fee; cancel from the portal at any time. Service runs to the end of the paid month. The first 30 days are a free trial.
Is there an activation or setup fee?
A one-time activation fee of $250 per practice applies.
Are HIPAA SMS and eFax charged per practice or per location?
Per practice: $15 per month for texting and $15 per month for eFax, regardless of how many seats use them. How multi-location groups are billed for add-ons is being confirmed; the calculator currently treats a group as one practice.
What does a seat include?
One extension for one person: unlimited US calling on the practice number, voicemail with transcription, AI call summaries, live reporting, and soft extensions on desktop, iOS, Android and the web. $20 per user per month.
Do I need desk phones?
No. Soft extensions on desktop and mobile ring in about 15 minutes. Desk phones are optional at $119 one-time each and arrive pre-provisioned in 2–3 business days.
What does number porting cost?
Nothing. We file the port request, which usually completes in 5–10 business days, and forward calls to your new extensions from day one.
Does the BAA cost extra?
No. The Business Associate Agreement is presented for e-signature during signup and countersigned by ZentryVoice at no charge; texting and fax cannot be enabled on a medical or dental account until it is signed. Law and financial firms receive their addendum the same way.
How does the trial work?
Every account starts with a 30-day free trial on the full platform. Desk phones ordered during the trial are charged at order time; monthly service starts after the trial.
How do I cancel?
From the portal, in one step, with no call required. You keep your numbers: port-out is free, and you can export call logs, messages, faxes and the audit log before closing the account.
What happens above 16 extensions?
Seats are still $20 per user per month. Support plans are published for practices of up to 16 extensions; larger groups contact sales for a tailored support plan.
