Extensions: desk phones that arrive provisioned and mapped to a person, room or role

In short: A ZentryVoice extension is a numbered line (101, 102, …) tied to a person, room or role on your practice’s cloud PBX. Desk phones arrive already provisioned through Grandstream GDMS, so there is no technician visit: plug them in and they ring.

What an extension is

ZentryVoice Extensions are the numbered lines behind your single practice number. Each extension (101, 102, 103 and so on) is mapped to a person, a room or a role, such as “Front desk”, “Billing”, “Hygiene” or “Dr. Lee”. Callers dial one number; the system rings the extensions you choose, in the order and pattern you choose. Every practice gets unlimited extensions on one number, and each seat costs $20 per user per month.

Extensions live on a Grandstream CloudUCM, a cloud-hosted PBX (private branch exchange) that ZentryVoice provisions and manages for you through GDMS, the Grandstream Device Management System. The carrier side is Telnyx: calls reach the PBX over a SIP trunk secured with TLS signaling and SRTP media, and outbound calls carry STIR/SHAKEN A-attestation so they are less likely to be labeled “Spam likely”.

An extension is not tied to one device. The same extension 104 can ring a desk phone, the desktop app, a mobile app and the web phone at once, with one presence state (Available, On a call, Do not disturb, Away or Voicemail box) shared across all of them.

How provisioning works

Zero-touch provisioning means the phone configures itself the first time it reaches the internet. Here is the sequence from signup to a ringing desk phone.

  1. 1Extensions are created at activationWhen your practice is activated, ZentryVoice creates extensions 101 through 100 + seats on your CloudUCM and an inbound route for each number you own.
  2. 2A GDMS site and zero-touch profile are createdYour practice gets its own GDMS site bound to its CloudUCM. Every phone we ship is registered to that site by MAC address before it leaves the warehouse.
  3. 3Phones ship pre-boundDesk phones arrive in 2–3 business days. In the portal they show as “In transit”, then “Awaiting first boot”.
  4. 4Plug in and they ringConnect power (or PoE) and network. The phone contacts GDMS, pulls its configuration and registers to its extension. Status flips to “Online”. No technician, no web-admin screens.
  5. 5Managed afterwardsReboots, configuration pushes and firmware upgrades are run through GDMS in a 2:00 AM maintenance window, and trunk registration is verified afterwards.

Supported desk phones and devices

ZentryVoice ships Grandstream endpoints, all managed through GDMS. Practices see friendly names in the portal (“ZV Desk Phone”, “ZV Conference Phone”); the underlying models are listed here so your IT contact can check them.

  • GRP2612W — the standard ZV Desk Phone: 4-line carrier-grade IP phone with built-in Wi-Fi and PoE, $119 one-time.
  • GRP2614 — a higher-end desk phone with dual color screens, Wi-Fi, Bluetooth and dual Gigabit ports, for front desks that juggle many lines.
  • WP825 — a ruggedized cordless Wi-Fi handset for staff who move between rooms (triage, hygiene, back office).
  • GXV3350 — an Android-based IP video phone with a 5-inch touchscreen and tiltable camera, used for telehealth rooms.
  • HT802 — a two-port analog telephone adapter that connects an existing fax machine or analog phone and relays fax over T.38.
  • GAC2570 — a Wi-Fi conference phone for the meeting room.
  • GUV3050 — a wireless headset for desk-phone and desktop-app users.

What makes it different from a regular phone install

A conventional small-business phone install means a technician visit, a PBX in a closet and a vendor ticket for every change. Here is how the two compare.

Compliance notes

Desk phones are endpoints on a network that carries protected health information in voice form, so ZentryVoice treats them under the HIPAA Security Rule’s technical safeguards (45 CFR 164.312): unique extension credentials for each device, TLS and SRTP on the trunk to Telnyx, encrypted call recordings at rest (AES-256) and an immutable per-practice audit log of every configuration change and support session.

Every number carries a validated dispatchable address for E911, which is re-checked whenever a number or extension changes. Outbound calls are signed with STIR/SHAKEN A-attestation, the FCC-mandated caller-ID authentication framework for IP voice networks.

Moving a desk phone to another office? Update the E911 address in the portal first. A dispatchable address must be on every line before it goes live.

Pricing and plan facts

Seats are $20 per user per month and include the extension, softphone apps, voicemail with transcription, AI call summaries and reporting. A pre-provisioned GRP2612W desk phone is $119 one-time; cordless, video and conference models are quoted on request. Plans are month-to-month with a 30-day trial, you can cancel anytime, and port-out is free. Priority human support and next-day equipment replacement are part of the service.

Frequently asked questions

What is a phone extension in a cloud phone system?

An extension is a short internal number (for example 101) assigned to a person, room or role behind your main practice number. In a cloud system the extension lives on a hosted PBX, so it can ring a desk phone, a desktop app and a mobile app at the same time.

Do I need a technician to install VoIP desk phones?

Not with zero-touch provisioning. ZentryVoice desk phones are bound to your extension in Grandstream GDMS before they ship; you plug in power and network and the phone configures itself and rings.

How long does it take to get desk phones for a new office phone system?

Pre-provisioned desk phones arrive in 2–3 business days. Soft extensions on desktop and mobile ring in about 15 minutes, so the practice is reachable before the hardware lands.

How much does a VoIP desk phone cost for a medical or dental office?

ZentryVoice’s standard desk phone, a Grandstream GRP2612W, is $119 one-time. Seats are $20 per user per month.

Can one extension ring multiple devices?

Yes. The same extension can ring a desk phone, the macOS or Windows desktop app, the iOS and Android apps and the browser web phone, and all of them share one presence state.

What happens if a desk phone breaks?

Open a replacement from the portal. A new phone is pre-bound to the same extension by MAC address and ships next day; plug it in and it registers.

What is Grandstream GDMS?

GDMS is Grandstream’s cloud device-management platform. It provisions phones, pushes configuration and firmware, and monitors device status over TLS with certificate verification. ZentryVoice uses it to manage every desk phone and the CloudUCM PBX.
