The medical front-desk problem it solves
A medical front desk answers the same handful of questions all day while also checking patients in: whether the office is open, where to park, how to get a form, whether a referral arrived, and how to request a refill or a new appointment. Each of those calls interrupts the patient standing at the window.
Zentry Assistant answers those routine conversations on your practice number, by text and in a website chat, around the clock, and turns the ones that need staff into a tidy request with the patient’s name, date of birth, callback number and reason already captured.
What the medical template includes
The medical template starts with the intents primary care and specialty offices see most, each with intake questions your staff can edit.
- New and existing patient appointment requests with preferred days and times
- Prescription refill requests: medication, pharmacy and callback number, routed to the clinical queue
- Referral and records questions, forms and portal help
- Hours, locations, parking, accepted insurance plans you publish
- Billing and statement questions routed to the billing extension
- After-hours messages that page the on-call provider by your rules
Clinical safety: where it always stops
The medical template treats any mention of symptoms, medication reactions or possible emergencies as outside its scope. It does not triage or advise. It tells the caller to call 911 for an emergency, and otherwise transfers to the nurse line or on-call provider, or takes an urgent callback request, according to the rules you set.
Refill requests are captured, never approved: the request reaches the clinical team with the details they need, and only a clinician acts on it.
Zentry Assistant is not a medical device and does not provide diagnosis, triage or treatment advice.
HIPAA: the BAA, minimum necessary and access
Conversations with patients contain protected health information, so Zentry Assistant runs under the same Business Associate Agreement as the rest of ZentryVoice, countersigned at signup. Transcripts and summaries are encrypted in transit and at rest and are visible only to staff with access to that contact’s timeline.
The template follows the minimum-necessary principle: it asks only for the identifiers needed to route a request, such as name, date of birth and callback number, and it does not read back chart information to callers.
Price: $20 per user per month
Zentry Assistant for medical practices is $20 per user per month as its own service, month-to-month, with the medical template and setup included. Add it to ZentryVoice seats at $20 per user, or start with the assistant alone.
Frequently asked questions
Is there a HIPAA-compliant AI receptionist for medical offices?
Zentry Assistant is a HIPAA-ready AI agent for medical practices: it runs under a Business Associate Agreement countersigned at signup, encrypts conversations and follows the minimum-necessary principle when collecting patient details.
Can an AI assistant take prescription refill requests?
Yes, it can capture the request (medication, pharmacy and callback number) and route it to your clinical queue. It never approves a refill; a clinician does.
What happens if a patient describes symptoms?
The assistant does not triage. It directs emergencies to 911 and otherwise transfers to the nurse line or on-call provider or takes an urgent callback request, following your rules.
Does it work after hours?
Yes. After hours it answers routine questions, takes messages and requests, and pages the on-call provider for anything you mark urgent.
How much does it cost for a medical practice?
$20 per user per month as its own service, with the medical template and setup included.
